4.3 How do I create and manage briefcase?
If you prefer using your own content instead of AI suggestions, you can create and save your messages as templates via briefcase
How to create a New Template
- Templates allow you to save commonly used messages so you can quickly send them when reaching out to your contacts.
- You can create separate templates for Email and WhatsApp, depending on how you usually communicate.
Creating an Email Template
- Go to Settings that you will see on the bottom right corner of the home page.

- Click your Profile.

- On the profile screen, select the Briefcase icon. Click on Add

- Click the New Template icon.

- Select Email as the platform. Enter your subject and body content.
- If everything looks good, click on Save template.

Your email template will now be stored and can be used whenever you send an email via Regards AI.
Templates are not modified by AI. They remain exactly as you created them.

Creating a Message Template
- Click the Template icon again from the Briefcase icon and choose Add to create a new template.

- Select Message as the platform.

- Type the message you would like to reuse when messaging contacts.
- Click Save once the template is ready.

- Your message template will now be saved for future use.

Adding a New Document
- To add a document, open your Profile and click the Add button at the bottom of the screen. Choose New Document, and you will be taken to the Upload Document page.

- Click on Tap to upload from your files, then select the document you want to upload from your device.

- You can then give the document a clear name so you can identify it later. After naming the document, click Save Document to complete the upload. Once saved, you can preview the document at any time by clicking the eye icon.

- All documents uploaded will appear under the Documents section of the briefcase tab. Saved templates will appear under the Templates section, and if you want to see everything together, you can view them under the All tab.

Editing a Document
- To edit a document, go to the Documents section and click the three dots next to the document.

- Select Edit, and you will be able to update the document name.

- Click Update Document, and the updated version will appear in your Briefcase.

How to use templates
Using an Email Template
- When you want to send a saved email template, click the three dots next to the template.

- Select Use Template.

- You will then be asked to choose the contact you want to send the message to, and you can select only one contact at a time.
- After selecting the contact, click Proceed.

- You will be taken to a page where the template is already filled in. From there, click Share Email.

- Choose how you would like to send it, either through New Message or New Gmail Message.

- You will then be redirected to your chosen email app with the message already filled in.

Using a WhatsApp Template
- If you want to use a template for WhatsApp, click the three dots next to the template.

- Select Use Template.

- You will be taken to a page where you can review the message, edit it if needed, copy the text, or attach files.
- Once you are ready, click Share Message, and you will be redirected directly to the selected contact’s WhatsApp chat.

- After reviewing the message, simply click Sent.

Attaching a Document While Sending a Message
- If you want to attach a document while composing a message, click Attach Files.

- You will be given two options: From Briefcase or Add from Device.
- If you choose From Briefcase, you will see the documents you previously uploaded.

- Select the file and click Attach, and it will appear below the message body.

- You can preview it using the eye icon before sending. And click Share Message

- If you choose Add from Device, your phone’s file browser will open.

- Select the document you want to attach. Please note that only one document can be attached at a time.
- After selecting the document, click Attach, and it will appear below the message body.

- You can preview it using the eye icon before sending. When everything looks correct, click Share Message to send it along with your text.
Sharing a Document Directly
- You can also share a document without using a template. To do this, click the three dots next to the document.

- Select Share Message.

- Choose the contact you want to send it to, then click Proceed. You will be taken to a page where you need to enter a prompt to generate a message.

- You can type your message manually or use the voice input option. After entering your prompt, click Generate Message.

- Regards AI will generate the message and If you want to send it via email, click Share Email.

- If you want to send it through WhatsApp, Click the Email icon on the top right corner.

- Select Message and click Regenerate Message.

- Regards will Regenerate the message after reviewing Click Share Message, which will take you directly to the contact’s WhatsApp conversation. After reviewing the message, click Send.
